From the measurement on site to sign-off at the customer

An installation company in Germany: a measurement taken on site becomes a quote, the quote becomes a work order, and the order is closed with the customer's signature on a phone. The owner can see the state of every site at any moment.

How it used to be

  • Measurements in a notebook, retyped into a quote in the evening
  • Working and driving hours reported by message, then added up by hand
  • To know how far the job had got, the owner had to call the site
  • Photos of the finished work stayed in the fitter's phone

What changed

  • A measurement is entered once and flows into the quote and the order
  • Hours and driving are recorded the moment they happen
  • An overview of every site without driving around or calling
  • Hand-over is signed and documented on the spot

What is connected

  1. 1Measuring the openings on site
  2. 2The quote is built from the measured openings
  3. 3A work order for the fitters, with a deadline and a location
  4. 4Working and driving hours are logged where they happen
  5. 5Photo documentation of the finished work
  6. 6Hand-over and the customer's signature on a phone
  7. 7An archive that stays attached to the same job

The company installs windows and doors — work where the measurement is sacred and every transcription error is expensive. Before the system, the measurement lived in a notebook, the quote in Word, the hours in messages and the proof of work in a phone gallery. It all worked, but it all depended on someone remembering to pass the data on.

We built the system around that flow, not around a feature list. The fitter enters the openings on site; the quote is built from those openings; an accepted quote becomes a work order with tasks and a deadline. On site, hours and driving are logged, the finished work is photographed, and the job is closed with the customer's signature on a phone screen.

The result is not one more program but a single chain in which data is entered once. Everything that follows — the order, the report, the hours, the archive — comes out of it.

Klare Empfehlung!

Translation

I have had very positive experiences with Manage IT and can only recommend them. A program was developed for my company that is precisely tailored to my needs and the way we work.

My fitters and I now use the program daily. Jobs and tasks can be assigned directly, working and driving times recorded, work documented and signed off at the customer. That gives me a good overview of my sites and the current state of the work at any time.

I would particularly highlight the competence, friendliness and willingness to help. When there are questions, someone is always reachable and a solution is found quickly — that is not a given these days.

I am very satisfied with the cooperation and the program developed. A clear recommendation!
