One order — invoice, delivery note, work order and vet paperwork
The order arrives once, and everything that follows comes out of it. Admin work went from a full working day to roughly an hour of checking and approving.
≈ 8 h → ≈ 1 h
of admin per day, as estimated by the owner
How it used to be
- Orders arrived via the website, by phone and directly from regular buyers
- The same data was retyped into invoices, delivery notes, work orders and vet paperwork
- Worker tasks, the delivery plan and the hours log were written separately
- The admin load grew enough that hiring another full-time person was on the table
What changed
- Admin cut from around 8 hours a day to roughly 1 hour of checking
- No need to hire another full-time person
- More orders no longer mean proportionally more paperwork
- The owner sees orders, documents, tasks, hours and deliveries in one place
What is connected
- 1An order from the website, by phone or entered by hand
- 2Invoice and receipt from the same data
- 3Delivery note and work order
- 4Documentation for the vet
- 5Worker tasks and a delivery plan by route
- 6Delivery and confirmation at the buyer
- 7An archive that stays linked to the order
The farm sells both to regular buyers and through its website. Every order used to mean the same data written out five or six times: into the invoice, the delivery note, the work order, the vet documentation, the worker tasks and the delivery plan. Beyond the lost time, every extra entry is another chance to get something wrong.
We built the application around the farm's real process, with one rule: data is entered only once. As soon as an order arrives, the system already has the buyer, the products, the quantities, the prices and the delivery details — and it prepares every document that follows.
Automation does not take the human out of the decision. Where approval is needed, the system prepares the action and the responsible person reviews and confirms it. That is what the owner asked for: control without retyping.
