A rota that fills itself, and settlement that goes through approval
A shift system with automatic task assignment: the rota proposes itself, the worker sees it on a phone, and invoicing and settlement are visible only to those entitled to them.
How it used to be
- The rota in a spreadsheet, changes by message and phone call
- Every change meant notifying every worker again
- Who does what tomorrow was known only if you asked
- Invoicing and settlement depended on one person and their files
What changed
- The rota is built once and then only corrected
- Workers know their next task without asking or calling
- A change reaches everyone at the same moment
- The sensitive part — settlement and invoices — is seen only by those allowed
What is connected
- 1People, shifts and work rules are entered once
- 2The system proposes a rota from those rules
- 3Tasks are assigned automatically, with manual correction when needed
- 4The worker sees their shift and their task on a phone
- 5A change to the rota is visible to everyone at once
- 6Settlement and invoicing behind clear permission levels
Shift work breaks on changes. A rota for the week is not the problem — the problem is when someone drops out on Tuesday morning and the whole week is rebuilt over the phone. Every change is another round of calls and another chance for someone to miss the message.
We built a system where the work rules are entered once and the rota proposes itself. Tasks are assigned automatically and can be corrected by hand. The worker calls nobody — they open their phone and see their shift and their task, always in the current version.
On top of that comes the part usually forgotten: who is allowed to see what. Settlement and invoicing sit behind separate permission levels, so the owner does not have to choose between visibility and confidentiality.
